Terms of Service

1. Who we are and acceptance of terms

RentWise (“we”, “us”, “our”) is a property portfolio management platform. The platform is currently operated as a pre-incorporation venture. Legal entity details (company name, registration number, and registered address) will be updated in these terms upon incorporation.

By creating an account or using RentWise in any way, you agree to these Terms of Service and our Privacy Policy. If you do not agree, do not use the platform.

You must be at least 18 years old to use RentWise. If you are accepting these terms on behalf of a company or organisation, you confirm that you have the authority to bind that entity to these terms.

2. The service

RentWise is a SaaS platform that helps landlords manage rental properties — tracking occupancy, income and expenses, maintenance tickets, lease renewals, and tenant communication. Tenants may access a limited portal exclusively for submitting and tracking maintenance tickets.

We provide the platform “as is” and make no guarantees of uninterrupted availability. We may update, modify, or discontinue features at any time. For significant changes that materially affect your use, we will give at least 14 days’ notice by email where possible.

RentWise is a management tool only. It does not constitute financial, legal, or tax advice. You are solely responsible for decisions made using data from the platform.

3. User roles

Landlords

Landlords register directly and have full access to the platform: properties, financials, maintenance, occupancy, tenants, services, and billing. A paid subscription is required for access beyond any free trial period.

Tenants

Tenants are invited to the platform by their landlord via a secure invite link. Tenant access is strictly limited to:

  • Submitting maintenance tickets for their property.
  • Viewing and commenting on their own maintenance tickets.

Tenants do not have access to any financial data, lease terms, or other landlord information. Tenant accounts are free of charge. A landlord’s subscription covers all tenants they invite.

By accepting an invite and creating a tenant account, tenants agree to these Terms of Service and the Privacy Policy. Tenants acknowledge that their landlord is the data controller for the personal data they provided at the time of the invite (name, email, phone), and that RentWise acts as a data processor on the landlord’s behalf.

4. Subscription and billing

Subscriptions apply to landlord accounts only. Tenant accounts are free.

  • Monthly plan: €1.99 per active property per month, billed monthly.
  • Annual plan: €200 per year, unlimited properties, billed annually.
  • All prices are in euros and exclude any applicable taxes (including VAT). Where tax is required by law, it will be added to the amount shown at checkout.
  • Subscriptions renew automatically unless cancelled before the renewal date.
  • When you archive a property on the monthly plan, your next billing amount is adjusted accordingly.
  • Prices may change with 30 days’ notice by email. Continued use after a price change takes effect constitutes acceptance of the new price.

All payments are processed by Stripe. By subscribing, you also agree to Stripe’s terms.

5. Cancellation and refunds

You may cancel your subscription at any time from the Billing page. Cancellation takes effect at the end of your current billing period — you retain full access until then.

We do not issue refunds for unused time in the current billing period. By subscribing and gaining immediate access to the platform, you acknowledge that the 14-day EU right of withdrawal does not apply, as the digital service is provided immediately upon purchase with your explicit agreement.

6. Your data

You own all data you enter into RentWise — properties, leases, transactions, tickets, and any other content. We do not claim any rights to your data.

You are responsible for:

  • The accuracy of data you enter into the platform.
  • Complying with applicable data protection laws when entering your tenants’ personal data (see our Privacy Policy, Section 3).
  • Maintaining appropriate backups of any data you consider critical. While we use reliable infrastructure, we do not guarantee against data loss.

7. Account security

You are responsible for maintaining the confidentiality of your login credentials and for all activity that occurs under your account. You must notify us immediately at support@rentwise.fyi if you suspect any unauthorised access to your account.

We are not liable for any loss or damage arising from your failure to keep your credentials secure.

8. Intellectual property

The RentWise platform — including its code, design, branding, features, and content produced by us — is owned by RentWise and protected by applicable intellectual property laws. Nothing in these terms transfers any ownership of the platform to you.

We grant you a limited, non-exclusive, non-transferable licence to use the platform for its intended purpose during the term of your subscription. You may not copy, modify, reverse engineer, resell, or create derivative works based on any part of the platform.

9. Acceptable use

You agree not to:

  • Use the platform for any unlawful purpose or in violation of any applicable law or regulation.
  • Attempt to gain unauthorised access to other users’ accounts or data.
  • Reverse engineer, decompile, or copy any part of the platform.
  • Use the platform in a way that disrupts, degrades, or impairs the service for other users.
  • Enter false, misleading, or fraudulent data.
  • Use automated scripts or bots to access the platform without our prior written consent.

10. Indemnification

You agree to indemnify, defend, and hold harmless RentWise and its operators from and against any claims, damages, losses, liabilities, costs, and expenses (including reasonable legal fees) arising out of or relating to:

  • Your use of the platform in violation of these terms.
  • Your violation of any applicable law or third-party rights.
  • Any claim by a tenant or other third party arising from your use of the platform, including how you handle their personal data.

11. Limitation of liability

To the maximum extent permitted by applicable law:

  • RentWise is provided as a management tool only. We are not responsible for financial, legal, or tax decisions made using data from the platform.
  • We are not liable for indirect, incidental, special, consequential, or punitive damages, including loss of profits or data, even if we have been advised of the possibility of such damages.
  • Our total liability to you for any claim arising from your use of the platform is limited to the amount you paid us in the 3 months prior to the event giving rise to the claim.

12. Account termination

You may delete your account at any time from Account settings. Deletion is immediate and permanent.

We reserve the right to suspend or terminate accounts that violate these terms, engage in fraudulent activity, or fail to maintain a valid subscription. We will give reasonable notice where possible, except in cases of serious or repeated violations where immediate suspension may be necessary.

13. Cookies

RentWise uses essential cookies only — strictly necessary for authentication and session security. We do not use advertising, tracking, or analytics cookies. Full details are in our Privacy Policy (Section 10).

14. Privacy

Your use of RentWise is governed by our Privacy Policy, which is incorporated into these terms by reference. By using the platform you confirm you have read and understood that policy.

15. Severability and entire agreement

If any provision of these terms is found to be unenforceable or invalid by a court of competent jurisdiction, that provision will be limited or eliminated to the minimum extent necessary, and the remaining provisions will continue in full force and effect.

These terms, together with the Privacy Policy, constitute the entire agreement between you and RentWise regarding your use of the platform, and supersede all prior agreements or understandings on that subject.

16. Changes to these terms

We may update these terms from time to time. For material changes, we will notify you by email at least 14 days before they take effect. The date at the top of this page always reflects the most recent version. Continued use of the platform after the effective date constitutes acceptance of the updated terms.

17. Governing law

These terms are governed by the laws of Luxembourg. Any disputes arising from or relating to these terms or your use of the platform shall be subject to the exclusive jurisdiction of the courts of Luxembourg, without prejudice to any mandatory consumer protection rights you may have under the law of your country of residence.
